JOB PURPOSE

To assist in the maintenance and saftey of Bpi/BrydensLtd.’s Quality and Saftey Management systems as well as promoting adherence to established procedures, standards and specifications for the Company’s processes, products and services.

PERFORMANCE CRITERIA

The job is satisfactorily performed when:

  • There is continuous monitoring and improvement of customer services, processes and standards.
  • Customer complaints and CAPAs are logged and managed to closure within established timeframes
  • QMS and customer service training and awareness initiatives targets are met.
  • There is continuous improvement relative to non-conformances in compliance with standards and procedures
  • All reports are timely and accurate
  • Quality related activities at the Warehouse are successfully attended to within required timeframes
  • Saftey training completion rates
  • A satisfactory working relationship is encouraged and developed with all employees as espoused and guided by Group and Company Values.

KEY RESPONSIBILITIES

FUNCTIONAL:

Quality Assurance:

  1. Documentation of Company procedures, processes and work instructions
  2. Provides administrative QA support to all departments
  3. Initiate and participate in quality and customer service improvement activities and projects throughout the organization.
  4. Monitor all established KPIs. Track customer complaints, non-conformances to ensure they are closed off within identified time frames
  5. Conduct weekly, monthly and other periodic quality inspections, prepare and submit reports to Quality Management Representative as required.
  6. Ensure all non-conforming goods returned from customers are identified and processed within established timeframes and in accordance with established procedures.
  7. Participate in the product recall process and assist with the identification and reconciliation of non-conforming product in adherence to Bpi, Supplier and Regulatory procedures.
  8. Ensure that all necessary documents and follow up actions arising out of internal audits are completed on a timely basis.


PEOPLE MANAGEMENT:

    1. Assist in the supervision of daily activities of quality assurance systems at the various sites within the organization, inclusive of customer service activities.
    2. Co-ordinate quality training events on company procedures and use of quality tools and techniques and conduct related employee awareness training sessions.

    HEALTH, SAFETY & ENVIRONMENT:

      1. Investigate and report on incidents and/or accidents to the Human Resources Officer and CEO.
      2. Maintain records and reports both in hardcopy and soft copy inclusive of: HSSE inspections, toolbox sessions, accident reports, minutes of meetings, drills, general training, risk assessments, Material Safety Data Sheets, certification of safety equipment/ forklift drivers/ First Aid and CPR, safety footwear log, service reports and equipment maintenance logs.
      3. Assist with scheduling and facilitating HSSE- meetings, training sessions, contractor management, equipment- inspection, certification, servicing and breakdowns.
      4. Ensure that all safety equipment and other general equipment are maintained and inspected as stipulated.
      5. Maintain records of all safety equipment and certification to ensure re-certification is met prior to expiry. Maintain general equipment service records and schedules.
      6. Ensure welfare facilities and general housekeeping is maintained which will include provisions for potable and drinking water supply.
      7. Assist with the coordination of other associated activities which shall include: Safety Week and Environmental initiatives.
      8. Recommend corrective measures to be applied based on results of risk assessments.
      9. Assist in the application of and adherence to established HSE measures and procedures to ensure the well-being of all employees and the Company’s customers.


      GENERAL ACCOUNTABILITIES:

        1. Submit department periodic reporting and special reports as requested including reports regarding nonconformance of products or processes, root cause analyses, quality trends, internal audits and customer complaints.
        2. Keep abreast of issues in the field of quality assurance, pharmaceutical and food safety and make recommendations for improvement of Bpi’s Quality Management System.
        3. Perform other duties that may be required to enhance the operations of the Company.

        TOOLS, EQUIPMENT, MACHINERY, MATERIALS, ETC.:

        • MS Office Safety Gear (PPE) for warehouse use…shoes, safety glasses
        • Laptop Computer
        • Email software

        EDUCATION AND EXPERIENCE:

        • Associate’s Degree in Business Administration or equivalent & HSE Diploma or or certification is a bonus
        • General knowledge of HSSE policies and procedures.
        • Professional certification in quality assurance/internal quality audits/TQM and/or knowledge of ISO 9001:2015, WHO GXP Guidelines
        • A minimum of two (2) years’ experience in a similar capacity.
        • Experience in Quality Assurance, Auditing/ ISO Internal Auditor Training and Hsse
        • Or relevant combination of training and experience
